{"id":12183,"date":"2024-10-01T11:17:14","date_gmt":"2024-10-01T09:17:14","guid":{"rendered":"https:\/\/www.inprosec.com\/?p=12183"},"modified":"2024-10-01T11:17:14","modified_gmt":"2024-10-01T09:17:14","slug":"web-services-status-integration-in-sap-grc-uses-and-applications","status":"publish","type":"post","link":"https:\/\/www.inprosec.com\/en\/web-services-status-integration-in-sap-grc-uses-and-applications\/","title":{"rendered":"Web Services Status Integration in SAP GRC: Uses and Applications"},"content":{"rendered":"<p><span style=\"font-weight: 400;\">During this article, we will continue to expose the benefits and utilities of undertaking an integration between the SAP GRC system and another external to the ERP ecosystem such as, for example, the corporate employee request management tool.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Throughout the document, we will focus in particular on one of these web services, the \u201cWS Status\u201d, which allows to know the status of GRC requests at any time without the need to access the system.<\/span><\/p>\n<h2><b>Integration of systems involved in an onboarding<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">In this day and age, every company has a tool for managing employee applications, to name a few of the most popular: ServiceNow, Jira or 4ME. This can be very useful as, for example, to automate the feedback to the users of the status of their permission request in SAP GRC, being possible to consult it from the corporate ticketing tool without needing accounts of all employees to enter GRC.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">To perform this integration, it is first necessary for the external system to map each request from your system to the corresponding request in GRC, as an example:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">User A creates the request REQ123 in the ServiceNow (or any other) tool.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The authorization team creates Request ID 305 in SAP GRC to handle this request REQ123 from user A.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The ServiceNow system must store that the REQ123 request is related to the SAP GRC 305 request.<\/span><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">At this point, the web service comes into play, which can provide updated information on the status of the GRC request. This only requires the construction of a SOAP query with two input parameters:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">ReqNo: Mandatory field that corresponds to the number of the GRC request whose status is to be consulted..<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Language: Optional field in which you mark the language in which you want the SAP system to send the response.<\/span><\/li>\n<\/ul>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-12173\" src=\"https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-4.png\" alt=\"\" width=\"309\" height=\"176\" srcset=\"https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-4.png 309w, https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-4-300x171.png 300w\" sizes=\"(max-width: 309px) 100vw, 309px\" \/><\/p>\n<h3><b>WS Status: Status Types<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">In this last section, we will go down to the technical details of the behavior of this SAP GRC web service.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Once a query like the example in the image above has been launched, the server system (in this case SAP GRC) will send a response that corresponds to the relation in the table below:<\/span><\/p>\n<table>\n<tbody>\n<tr>\n<td><b>SAP GRC Status<\/b><\/td>\n<td><b>Web Service Status<\/b><\/td>\n<\/tr>\n<tr>\n<td><span style=\"font-weight: 400;\">Decision Pending<\/span><\/td>\n<td><span style=\"font-weight: 400;\">PENDING<\/span><\/td>\n<\/tr>\n<tr>\n<td><span style=\"font-weight: 400;\">Approved<\/span><\/td>\n<td><span style=\"font-weight: 400;\">OK<\/span><\/td>\n<\/tr>\n<tr>\n<td><span style=\"font-weight: 400;\">Cancelled<\/span><\/td>\n<td><span style=\"font-weight: 400;\">ABORTED<\/span><\/td>\n<\/tr>\n<tr>\n<td><span style=\"font-weight: 400;\">Rejected<\/span><\/td>\n<td><span style=\"font-weight: 400;\">FAILED<\/span><\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">Continuing with the previous example, if the status of the GRC 305 request is pending as in the image below:<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-12175\" src=\"https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-5.png\" alt=\"\" width=\"459\" height=\"85\" srcset=\"https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-5.png 459w, https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-5-300x56.png 300w\" sizes=\"(max-width: 459px) 100vw, 459px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">En The querying system will receive an XML response including the details of the status of the GRC request in the \u201cReqStatus\u201d field, as shown in the following image with the status <\/span><b><i>PENDING<\/i><\/b><span style=\"font-weight: 400;\">:<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-12177\" src=\"https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-6.png\" alt=\"\" width=\"577\" height=\"367\" srcset=\"https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-6.png 577w, https:\/\/www.inprosec.com\/wp-content\/uploads\/2024\/09\/Integracion-Web-Services-Status-en-SAP-GRC-6-300x191.png 300w\" sizes=\"(max-width: 577px) 100vw, 577px\" \/><\/p>\n<p><b>With this information, the ticketing tool can have ad-hoc up-to-date information on the status of requests within SAP GRC<\/b><span style=\"font-weight: 400;\">, and thus can inform the user or follow up on approvers to move the request forward.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Regarding the way to inform the end user, following the example, it would be to have the ticketing tool do a translation and convert the server response \u201cPENDING\u201d to an automatic message in the ticket such as <\/span><i><span style=\"font-weight: 400;\">\u201cYour access request is still pending approval\u201d<\/span><\/i><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For other cases, if the tool receives a \u201cFAILED\u201d response from the SAP server, this implies that in SAP GRC the request has been rejected at the approval stage. With this knowledge, a message such as <\/span><i><span style=\"font-weight: 400;\">\u201cThe request has been rejected by an approver or administrator in the risk approval tool as it does not comply with company policies\u201d<\/span><\/i><span style=\"font-weight: 400;\"> can be included in the request.
